Who is responsible
Truedell Enterprises LLC provides TrueAgentReady Academy and is the data controller for personal information processed to operate the Academy. Agencies may separately control learner information they provide. Paddle handles payment information as Merchant of Record under its own privacy notice.
For support, privacy requests or copyright complaints, contact Truedell Enterprises LLC at Trueagentready@gmail.com.
Information and purposes
- Names, emails, authentication credentials and session information: account creation, sign-in, recovery and certificate identification.
- Lesson completion, practice attempts, scores, missed steps, certificates, assignments and coaching notes: training delivery, progress and authorized agency supervision.
- Agency/team names, memberships, roles, seat assignments and branding uploads: agency access and branding administration.
- Purchase/transaction references, plans, subscription status and paid-through dates received from Paddle: linking purchases and administering access. Paddle collects card details in its checkout.
- Device/browser information, IP addresses, request/error information, access/audit events and report preferences: service delivery, troubleshooting, security and fraud prevention. Correspondence you send is used to respond to your questions.
- Optional microphone audio and transcripts: voice rehearsal and expressly requested transcription. Optional saved summaries contain practice scores and dates, not audio or transcripts. Fictional, de-identified guidance questions: requested training explanations.
Do not submit real beneficiary records, health information, Social Security numbers or Medicare identifiers. Practice worksheets are not approved live-record systems.
Legal bases
Where applicable law requires a legal basis, we rely on contract performance for accounts, purchased access and training; legitimate interests for agency administration, security, fraud prevention and troubleshooting; legal obligations for required records; and consent for optional microphone/transcription processing where requested. You may decline optional recording and use typed practice. Withdrawing consent does not undo prior processing.
Sharing and external services
Recipients include hosting, authentication, storage, diagnostic and support providers, including Lovable Cloud; authorized owners and trainers within your agency; professional legal/accounting advisers; and authorities where required by law.
We share purchase-related information with Paddle for product sales, subscription management, payments, tax compliance and invoicing. See Paddle's Privacy Notice.
Requested transcription and approved-guidance processing use Lovable's AI service and OpenAI models. Transcription sends audio outside your browser; reset cannot recall data already sent. Provider handling is subject to their terms. Optional Google sign-in and Google Fonts involve Google; browser speech services depend on your browser/device provider. External links have their own privacy policies.
Retention
Training history is retained until you make a verified deletion request. To request deletion or an account closure, email trueagentready@gmail.com; we verify your identity before processing the request. Purchase and security/audit records may be retained separately for legal obligations, disputes and security. Information no longer needed is deleted or anonymized, subject to lawful retention obligations.
Voice audio/transcripts and temporary worksheet entries stay in page memory rather than account records. Reset, refresh or leaving practice clears the app's temporary entries. Practice scores are saved only when you explicitly choose to save them. This does not promise deletion or a particular retention period at external transcription or browser providers.
Cookies and browser storage
Essential browser storage maintains sign-in sessions. Hosting, sign-in and checkout providers may use essential cookies or similar technologies to deliver and secure their services. Manage cookies and site storage in browser/provider settings; blocking essential storage may prevent sign-in or checkout. Optional analytics/marketing cookies require an appropriate notice and preference mechanism before activation where legally required. External services are not represented as cookie-free.
Rights and security
Depending on applicable law, you may request access, correction, deletion, restriction, portability or objection, withdraw consent, and complain to a relevant data protection authority. Identity verification and legal retention exceptions may apply. Where GDPR applies, requests are generally addressed within one month, subject to lawful extensions.
We are responsible for appropriate technical and organizational safeguards proportionate to the data and risks, including authorized-access controls and review of provider protections. No service can guarantee absolute security. This notice makes no certification or audit claim.
Processing locations and updates
Providers may process information outside your country. Applicable transfer requirements must be addressed where relevant; a particular hosting region or contractual transfer safeguard has not been confirmed by this notice. We will update this notice with a revised effective date as practices change and notify users of material changes where required.
